You think it's HR policy that when he travels to the city of his boss she physically drives to the hotel to check him in and give her rewards number?

No, not at all. I don't think he has any clue what the policy is which is why he's asking a message board.

Yeah and bringing this to HR before having a normal polite adult convo with his boss would be idiotic, it would likely ruin the relationship forever.

You need to just be an adult OP and tell her you play the points game also.

You basically need to take the points as an indirect benefit. If she is taking away a benefit, then determine how much that benefit is worth.

I don't even know how to talk to you. Who the frick would go to HR over hotel points? I work in an industry where you'd be laughed out of the room for doing something like that.

Some companies are pretty strict with their travel policies. Manipulating direct reports’ travel to game the points system in your favor could be viewed as an ethics violation or stealing from said direct reports. Since she’s not the one traveling, she may not be able to dictate where her staff stays specifically nor can she manipulate the reservations so she gets the points.

Basically, she’s stealing the points from him. Esp for the stay in her hometown.

At the end of the day you are not paying for the room. Is your boss the owner of the company? If so, it’s 100% their cost and they should get the points. If not, take it up with HR and see what their policy is. Or don’t and just get over it.

Step 1: I feel like you just tell the front desk that you want to change it to your # and they would.

Step 2: Tell her you noticed she accidentally used her number and that you fixed it, and start the conversation. If she's a bitch, report her to HR. If she's cool, give her the spare key to your room.

Those points have a monetary value and she's knowingly manipulating the system. I bet she's playing other loopholes like airline refunds, mileage, per diem, etc. I know a guy that got fired for that. Don't ask me how he did it, but he stole 6 figures over time from a huge company, and was only caught because someone traveled with him and noticed something weird.

I'm regional sales manager and I cover the west coast +. She's the vp of sales. She seems to like me personally - she hired me. It's unbelievable to me that someone of that rank and title would behave this way when I'm such an important hire for her and my performance is so important to her standing with the company

The correct answer for all of it is to actually have a conversation with her about it. Don't be a doormat or a douche. Just simply say, Hey, I'd like my points. She's probably not going to be an arse about it. What's so hard about talking?!?!

It’s extremely likely to go 2 ways in my experience, like 47.5/47.5/5 to go:
1.) I apologize no one else cares about points around here I was just trying to go to hawaii this winter on the company points. You can definitely have all of yours’
2.) this is my Dept I’ll get the points I want, you can deal with it or quit
3.) unlikely 3rd reaction

I had this happen when I joined a new company years ago. I didn’t have a corporate card yet and they didn’t like expense reports so they wanted to pay for the room on my boss’s card. My first trip was 10 nights at a JW Marriott for about $250 a night. I had a Marriott credit card and didn’t want to miss out on the points. Once I arrived they asked for a credit card on file at check in so I gave them mine. Then when I checked out they asked which card to use and I told them mine.

I was prepared to blame the hotel if they questioned me. I was using my card for meals already so regardless I would have an expense report. My boss wanted the points for his Amex status and I wasn’t going to let that happen. Nobody ever questioned me about it.

If she is really driving there to check you in then she is insane and I’d ask the hotel how YOU as the actual guest can earn the points instead of her who isn’t staying there. If she questions you about it just calmly explain you were trying to get points to afford a family vacation next year and didn’t think anything of it. Her reaction will tell you if you want to stay there again. What if she wasn’t in that city?

The kind of idiot who accepts a job without knowing their travel and expense policy but places extreme value on how the policy can be used to their advantage. But I don’t expect you to make many logical thought out decisions based on your history.

I don’t know of many companies who cheat employees out of points on purpose.

Its not the company though, its just his boss. As far as we know she's just being aggressive and OP is just being a sheep about this whole thing so its likely not even an issue most adults would have.
